Digital Measures provides allows faculty to import publication citations directly from PubMed, Crossref, Scopus, Web of Science, and ORCID, making data entry faster and more accurate.  Detailed instructions about how to export BibTex files from EndNote, Google Scholar, Mendeley, RefWorks, or Zotero are available in another help document.  

With Crossref Imports, faculty can now pull their citations into Activity Insight directly from Crossref without first saving them into a BibTeX file. 

Step 1: Search Crossref 

  • After logging into your profile, select the Intellectual Contributions screen. In the upper right-hand corner of your publication summary page, find and select the “Import” button. 

  • The right-hand column allows you to Import from Third Party. Choose Crossref 

  • Enter your search criteria. If you leave search criteria blank and click Continue, Digital Measures will search Crossref for publications that match your name.  

  • Refine your search by choosing Add search criteria and entering additional search parameters. 

  • Delete a search criterion by selecting, then clicking on the trashcan icon. 

Step 2: Select Items to Import 

  • To select the publications to import, check the box next to individual items or check Select All at the top of the listing. 

  • Clicking an article’s title will show you the full details of that article. 

  • Once you have chosen the publications to import select Continue

  • If too many publications were returned or the publication you expected to find does not appear, you can edit your search criteria from this screen. Select the modify your search link, update your criteria, and select Search Crossref

Step 3: Eliminate Duplicates 

  • Any publications that might be duplicates are presented to you for review. Limit the publications that are displayed to those that still need review or all publications using the drop-down menu at the top. 

  • For each potential duplicate, choose Skip or Import at the bottom of the screen.  

  • Select Continue in the upper-right hand corner of the screen when all duplicates have been addressed. 

Step 4: Choose Collaborators 

If a collaborator is faculty at OSU and has a Digital Measures profile, the citation will be automatically linked to that profile.   

 In case of ambiguities, the import wizard will present you with a list of the names of all ambiguous authors in the citations. You must link the names of collaborators to user accounts in Digital Measures or indicate that there is no account to link to. There are three possibilities for any name:  

  1. That more than one collaborator has a very like name (example: Smith, S.E. could refer to Samuel Edward Smith or to Susan Elizabeth Smith.  

  1. The collaborator is faculty at OSU and has a Digital Measures profile and the name could match multiple profiles. Select the correct user account. Recall that not all colleges use Digital Measures. To advance to the next step, you must resolve all names that matched multiple users. 

  1. The collaborator matches no user accounts, as for faculty from other institutions or OSU faculty affiliated with colleges not using Digital Measures.  

Each of these cases can be resolved by choosing among Select Correct User AccountView All User Accounts, and No Matching Account. The first two options allow you to match a collaborator to an OSU Digital measures profile. The third retains the name in the citation but does not match the collaborator to any account. Continue the process until all ambiguous collaborator names have been resolved.  

Step 5: Review Publications and Import 

  • This step enables you to review the publications that you are about to load to ensure there are no errors. Use the forward and reverse arrows to move through the publications. 

  • Select the Finish Import button, then the Import button to complete the process.  

Citations are immediately loaded into your profile. You will receive a records successfully imported message.
