Digital Measures allows you to import Publication records into your profile from an existing source. This often saves time and improves data quality.

It’s tedious to enter publication citations by hand in Digital Measures. Don’t despair! In this video, I’ll show you how to import publications into your profile from a BibTeX file. Before we do that, though, let’s sidestep to the training files, where you can learn how to create a BibTeX file. Each of these files is about 8 minutes long and gives step-by-step instructions on how to work with the various resources shown.

Let’s assume that you have created and saved your BibTeX file. What are the next steps?

  1. Navigate to the Scholarship/Research/Creativity section in your Digital Measures profile.
  2. Open the Publications and Intellectual Contributions screen. If you have created other publication documents, you will see a summary list.
  3. In the upper right-hand corner of the screen, find and select the Import button.
  4. The left-hand column is titled Import from a BibTeX file. Select the Choose File button.
  5. Navigate to the location to which you have saved the BibTeX file.
  6. Choosing your file will engage the import wizard.
  7. You will be asked to match collaborators with existing Digital Measures profiles. Here all the authors named in the BibTeX file are sorted, according to whether or not Digital Measures recognizes those names.
  8.  First, let’s focus on the four names matched to user accounts.
    1. Confirm that each matched name is indeed your OSU colleague.
    2. In the case of a very common name, Digital Measures may have selected the wrong individual. You can change that by selecting a different user account.
    3. You will see a listing of all OSU faculty with Digital Measures accounts.
    4. Alternatively, if the individual you seek is not at OSU, you may select “No user account.”
  9. Now let’s focus on the names that do not match an OSU account.
    1. THIS IS A CRITICAL POINT: At this time (July 2020), all faculty within the Colleges of Agriculture, Business, Engineering, Forestry, Pharmacy, and Extension have active Digital Measures profiles. The other colleges do not use Digital Measures and their faculty have no profiles. Digital Measures will list such faculty under did not match any user account. You will not be able to match those names to an existing account. Notable in this example are the College of Science faculty.
    2. Additional authors with other institutions are also listed as not matched.
  10. When you have confirmed the accounts of your collaborators, choose the Continue button in the upper right-hand corner of the screen. One at a time, you will be shown the details of each publication you propose to import. Use the forward and backward arrows to review the group of publications.
  11. Select the Finish Import button. You will return to the publication summary screen.
  12. Each imported record will require a few touches in order to populate correctly into the curriculum vita report.
    1. Confirm that the publication type is correct.
    2. Respond to: Was this peer-reviewed/refereed? At this time, there is no need to indicate the type of review. That information is not included in any report.
    3. Be sure to save the records as you add information.
  13. On the publication summary screen, review the “allow sharing” column and choose “yes” for those items you wish to have displayed on your faculty website.
  14. This completes the process of importing publications into your Digital Measures profile from a BibTeX file.
